All participants who have presented oral talks and posters are invited to publish their contributions. All papers are subject to refereeing.
By submitting a paper for publication in PEPAN Letters the authors imply that the material has not been published previously nor has been submitted for publication elsewhere.
Authors should make a careful survey of the literature to ensure that papers do not duplicate previous work and that relevant existing knowledge has been taken into account.
Proceedings in short:
- Deadline for initial submission: June 4th, 2024.
- Proceedings language: English.
- Maximum number of pages: 5 pages (including the title, abstract, images, and references).
- Additionally, ALL co-authors must fill out and sign the "Copyright Transfer Agreement Form."
- To be published in the PEPAN Letters.
General workflow of proceedings submission.
Authors should go through several steps during submission:
- Paper preparation.
- Initial proceedings PDF uploading to the Indico platform. (Deadline: June 4th)
- You may receive comments from a Reviewer. In that case, you will need to reply to the comments and upload a PDF version of the proceedings again.
- Once you receive a comment that your paper is approved, you need to upload:
- PDF version of proceedings;
- the original files (archived folder with your Word or LaTeX proceeding and images);
- PDF of the filled-out version of the Copyright Transfer Agreement.
- See that your proceedings status changed to Approved.
Paper Preparation
- A manuscript is submitted in PDF format. The final submission should also contain the original text in LaTeX or Word (an example and other examples) and files of figures. All pages should be numbered, and the manuscript must include all necessary elements of the paper.
- The first page of the manuscript should include the title of the paper, the initials, surnames, and affiliations (including country, city, zip code, and address for correspondence) of all the authors, followed by the short abstract. At least one of the authors should provide an e-mail address for correspondence.
- In formulas, all roman letters denoting physical quantities should be italicized: E, V, m, etc. Vectors must be in bold type without arrows over the letters. Similarity numbers (Ar, Re, etc.), functions (sin, arcsin, sinh, etc.), conventional mathematical abbreviations (max, min, opt, const, idem, lim, log, ln, det, exp), chemical elements (Cl, Fe), etc., should be in roman type. Except for abbreviations, including those of surnames, which must be in roman type, letters in sub- and superscripts should be in lowercase italics.
- Figures must be clearly readable and of good quality. It is desirable to submit each figure in the form of an individual file in the Encapsulated PostScript format (*.eps) or in the Portable Document Format (*.pdf). Raster artwork should be at least 300 dpi at 100% (Full print size). If a color figure is submitted, please make sure to upload, in addition, a usable black-and-white version required to correctly reproduce the artwork in print.
- Cited references must be given in a general list at the end of a manuscript and should be numbered by the consecutive numerals as they are mentioned in the main text. The list of references must have the heading REFERENCES. All references should include a full list of authors, with the only exception being collaboration papers. It is not permissible to cite unpublished works. Examples of references are as follows.

Initial Proceedings submission
Create a PDF version of your proceedings and follow the instructions in the Proceedings submission section. There, you need to upload your PDF file by clicking the Submit Paper button.
Receiving reviews and working with it
In order to hide the personality of the Reviewer, a member of the organizing committee will work as a proxy in this process. Your PDF file will be sent to the Reviewer by us, and the Reviewer's reply will be copied as a comment to your proceedings page. You will see the name of the member of organizing committee. Please know that this person is not responsible for reviewing or approving your paper.
Once you receive comments on your submission, you will be able to upload a modified version of the paper and write your reply in the comment section.
At some moment, you may receive a comment that your paper is approved by the Reviewer, however, the status of the submission will not indicate it. It is because we will need the next documents from you.
- Copyright transfer agreement: PDF version of the signed document. All co-authors should sign it.
- Source files for your proceedings. It may be either Word document or LaTeX project. In order to upload a LaTeX project, you need to archive it (ZIP). If in your Word document you use images, please archive them together with the document itself.
Important!!! Indico proceedings platform does not allow you to resubmit your files. So, once you do the final submission, please upload all files in the staging area and only after that, click "Submit new revision" button. In case of an error, please leave a comment with the request to reset your submission.
After the technical check of the correctness of the files, your proceeding's status will change to "Accepted".

Scientific works are the result of intellectual activity, that is, an object protected by copyright. The person by whose labor the scientific work was created as a result of intellectual activity is recognized as the author (co-author).
Pleiades Publishing, Ltd. (PPL) publisher of PEPAN Letters in English, hereby inform you that the use of results of intellectual activity – translation, publishing, and distribution of an article in journals in English – is carried out by the above-mentioned publishing companies solely on the basis of an agreement on the transfer of copyright. It is mandatory to fill out, sign, and send the said agreement to the editorial board of PEPAN Letters.
In order to simplify the procedure of interaction between an author (co-authors) and the publisher, we kindly ask that you send agreements on the transfer of copyright simultaneously with the manuscript of the article to the board.
This agreement is a contract of adhesion.
We draw your attention to the fact that the agreement enters into force under the condition of acceptance of an article for publication in English. If your article is refused by the editorial board of the journal, the agreement automatically loses force. The decision on acceptance of an article for publication is the exclusive right of the editorial board. The signing of the agreement by an author (co-authors) means that the author (co-authors) has acquainted himself (themselves) and agrees (agree) with the conditions of the agreement.
